Even organizations that do use Opportunities run into limits: the standard tool isn’t available on every Power Apps license tier, and it has no way to capture custom qualification data - a source code, a campaign identifier, a territory - during the conversion step.
A custom Lead Qualifier removes those constraints by making every part of the process configurable: what record type gets created, what data flows from the Lead, what additional questions get asked during qualification, and what happens automatically once a lead qualifies. In practice that’s meant building qualification paths that create Projects instead of Opportunities, tools that work on licenses where Microsoft’s version simply isn’t available, and workflows that branch differently depending on lead source or type.
The pattern is consistent: Microsoft’s tool assumes one sales model. Most real businesses don’t fit it exactly, and forcing the fit usually means abandoning the tool and qualifying leads manually instead - which defeats the purpose of automation in the first place.
