Your New CRM Will Not Fix Your Old Data Problems Without A Plan

A new Microsoft Dynamics 365 CRM can improve workflows, automate follow-ups, and give your teams a clearer view of every customer relationship. But it cannot decide which of four duplicate customer records is correct.

That decision needs to be made before migration, not after go-live.

Endeavor CRM Data Governance

Many organizations enter a CRM project with customer information spread across spreadsheets, email folders, legacy applications, and departmental databases. Sales may have one customer address, finance another, while marketing has two versions of the same contact. Staff create new records because they cannot find or trust the existing ones. Eventually, reports show conflicting totals, and nobody is quite sure which information is accurate.

Moving all of that data into a new CRM does not create a fresh start. It gives your old data problems a newer interface.

The Endeavor4 CRM team realizes implementation as one of the best opportunities an organization has to improve its data. The objective is not simply to arrive at go-live with clean records. It is to establish a practical Data Governance Model that helps keep those records accurate, complete, secure, and trusted.

Clean Data Is Only The Starting Point

Data cleansing prepares information for migration. Data governance determines what happens next.

Once the Microsoft Dynamics 365 CRM goes live, information will be created and updated by employees, integrations, web forms, automated workflows, and potentially customers themselves. Without clear ownership and standards, even a carefully cleaned database can quickly deteriorate.

This is why Endeavor4 treats data quality as a foundational project workstream, not a cleanup activity saved for the end. Our approach considers data ownership, authoritative systems, shared business definitions, duplicate prevention, security, reporting, and ongoing stewardship throughout the implementation.

How Endeavor4 Builds Data Governance Into Agile Delivery

During discovery, our CRM team works with business and technical stakeholders to understand where information currently resides, how it is used, and where quality issues exist.

Together, we address practical questions:

  • Which system should own each type of information?
  • What data should be corrected, migrated, archived, or excluded?
  • Who is accountable for maintaining important customer records?
  • How should duplicates and data-quality exceptions be handled?
  • What definitions are needed for consistent reporting?

Endeavor4 does not make these business decisions in isolation. Our role is to bring the right stakeholders together, identify conflicting assumptions, provide recommendations, and translate agreed decisions into practical CRM controls.

We document who owns the data, what key terms mean, where authoritative information comes from, and how quality will be monitored. Depending on the project, this may include a Data Ownership Matrix, Business Glossary, Data Dictionary, stewardship responsibilities, duplicate-management rules, and source-to-target mappings

These decisions then become part of the Agile backlog. Governance requirements are translated into user stories, acceptance criteria, required fields, validation rules, controlled values, security permissions, workflows, and test cases. During each sprint, the controls are demonstrated and refined with stakeholders. Data quality is further validated through migration cycles, QA, realistic business scenarios, and User Acceptance Testing.

Five Decisions That Help Keep CRM Data Clean
  1. Identify authoritative systems early. Decide where each type of information is created and maintained.
  2. Assign business ownership. Data quality cannot belong only to IT.
  3. Agree on shared definitions. Ensure teams interpret fields, classifications, and statuses consistently.
  4. Test duplicate rules using real data. Prevent duplicates without blocking legitimate records.
  5. Plan for ongoing stewardship. Give internal teams the training and processes needed to monitor quality after launch.

A clean migration is an important milestone, but it is not the finish line.

Data cleansing gets you ready for go-live. Data governance keeps your CRM valuable long after it.
