What Questions Should Benefits Brokers Ask When Evaluating CRM and Agency Management Software?

Visit Website View Our Posts

Benefits brokers evaluating CRM and agency management software need to know more than what features appear on a product checklist. They need to understand how the system will handle real workflows: integrations, lead capture, Outlook email, documents, renewals, commissions, reporting, rate structures, and agency-specific processes.

During a recent BenefitsBridge demo, eight people from an independent, mid-sized agency with five locations asked 17 practical questions about how the platform would fit their day-to-day work. The agency handles Business Insurance, Employee & Group Benefits, Personal Insurance, and Medicare, so the discussion included perspectives from account management, sales leadership, and IT.

These were not scripted questions. They were the questions a real agency wanted answered before deciding whether new software would make work easier—or become one more system to manage.

What Is BenefitsBridge?

BenefitsBridge is a CRM and agency management platform built specifically for employee benefits brokers.

Built on Microsoft Dynamics 365 and Power Platform, BenefitsBridge brings client and policy information, sales, renewals, commissions, workflows, documents, reporting, and Microsoft 365 collaboration together in one system while remaining flexible enough to adapt to the way each agency operates.

BenefitsBridge is also available through Microsoft Marketplace.

Here are the 17 questions the agency asked during the demo—and the answers.

BenefitsBridge Experience and Company Background

1. How long has ForgeXRM been around, and who is behind BenefitsBridge?

ForgeXRM may be a newer company name, but the experience behind BenefitsBridge goes back to the early 2000s, when the team was among the early groups building deeply on Microsoft CRM.

In 2008, the company was acquired by a large accounting and advisory firm, where the team and solution operated for a number of years. I later decided to relaunch independently so we could regain direct control of the product roadmap and continue investing in the areas that matter most to brokers. Members of the original team came back together to build and support the platform.

For agencies evaluating the product, the important point is that BenefitsBridge is not unproven software. It has more than 15 years of real-world use behind it, with clients ranging from very small firms to agencies with several hundred people.

BenefitsBridge Integrations and Lead Capture

2. Who sets up integrations that BenefitsBridge doesn't provide natively?

Integration projects usually begin with a shared scoping conversation, but agencies are not left to figure them out alone.

Because BenefitsBridge is built on Microsoft Dynamics 365 and Power Platform, integrations do not have to be limited to a fixed list of vendor-built connectors. Depending on the system, an integration may use its API, Microsoft Power Platform connectors, Power Automate, or another approach.

Once we understand what an agency wants to connect, we evaluate what is realistically possible and explain the scope, ownership, and cost before work begins.

Some integrations require relatively quick configuration. Others are genuine development projects.

3. Can website leads flow directly into BenefitsBridge?

Yes. Information submitted through a landing page or agency website can be routed into BenefitsBridge and used to create a lead automatically.

One common approach is using Microsoft Power Automate to take a form submission and create the appropriate record in BenefitsBridge.

This eliminates the manual process of receiving a form notification by email and then entering the same prospect information into the agency's system.

4. Does BenefitsBridge integrate with Jotform?

BenefitsBridge does not currently have a native, pre-built Jotform connector, but that does not necessarily prevent the two systems from working together.

If the source system exposes an API or can participate in an automation workflow, there is often a practical way to connect it. Microsoft maintains an extensive Power Platform connector reference covering connectors available for Power Automate, Power Apps, and related services.

Rather than giving agencies a blanket yes-or-no answer, we prefer to evaluate the specific workflow and determine what an integration would require.

CRM Pipeline Management and Outlook Integration

5. How does BenefitsBridge track leads and sales opportunities?

BenefitsBridge provides a straightforward path from prospect to client while reducing duplicate data entry.

Agencies can capture a lead using the information that matters to their sales process, and those fields can be tailored. When a lead is ready to move forward, a single qualification step can create the account, contact, and opportunity without requiring users to re-enter the same information.

The resulting opportunity can track:

  • Sales stage
  • Estimated revenue
  • Decision makers
  • Proposed solutions
  • Next steps
  • Other information required by the agency's sales process

This gives producers a structured sales process while providing leadership with greater visibility into the pipeline.

6. Can BenefitsBridge track emails directly from Microsoft Outlook?

Yes. Emails can be captured in BenefitsBridge in more than one way.

Users can send an email from within BenefitsBridge and have it captured automatically, or they can work directly in Outlook and use the Dynamics 365 App for Outlook to track the email against the appropriate record.

An email can be associated with an account, contact, or even a specific policy. Policy-related emails can appear in the policy history while also rolling up into the broader account history.

The result is a shared history of the client relationship without requiring someone to reconstruct conversations from individual inboxes.

SharePoint Document Management and Client Collaboration

7. Who controls which SharePoint documents appear in BenefitsBridge?

The agency does.

BenefitsBridge can surface document management through Microsoft SharePoint, but connecting SharePoint does not mean every existing folder and file automatically appears inside BenefitsBridge.

The agency determines which locations, folders, and document paths are exposed. Folder creation can also be automated so that, for example, a consistent document structure is created whenever a new account is added.

This gives teams access to Microsoft 365 document collaboration while maintaining an organized client experience inside BenefitsBridge.

8. Can clients edit shared documents directly?

Yes, depending on the SharePoint permissions the agency provides.

If a document is shared with a client with edit access, the client's changes are reflected in the same underlying SharePoint file displayed through BenefitsBridge.

BenefitsBridge is not creating a disconnected copy. The client and agency can work with the same controlled document, subject to the permissions established by the agency.

9. Can BenefitsBridge notify us when a client finishes reviewing a document?

BenefitsBridge can show when the underlying document was last modified and who modified it. However, it does not currently interpret a document change as an automatic "client review complete" notification.

For a standard process, an agency can use a follow-up task or renewal workflow step as the reminder.

If more automated notifications are important, the workflow can be evaluated to determine what can be automated.

BenefitsBridge Renewal Workflows and Rate Structures

10. Can a renewal checklist be exported for a client meeting?

Yes. Renewal project and checklist information can be exported to Excel.

Teams can take a working checklist, timeline, or other renewal information into a client meeting rather than being limited to viewing the information inside BenefitsBridge.

11. Are BenefitsBridge workflow templates shared across the agency?

Yes. Workflow templates are shared across the organization so team members can follow a consistent process.

Editing those templates is typically restricted to an administrator role.

This helps agencies standardize repeatable processes such as renewals, producer splits, and rates while maintaining control over how templates are changed.

12. Can BenefitsBridge handle a three-tier carrier rate structure?

Yes. BenefitsBridge can accommodate rate structures that do not fit a standard four- or five-tier model.

Agencies can create rate templates that match the structure they actually need—including three-tier scenarios—and reuse those templates going forward.

The objective is to accommodate the way the agency's business is actually written instead of forcing every plan into a generic structure.

BenefitsBridge Customization and Reporting

13. Can agencies add custom fields such as contribution amounts and waiting periods?

Yes. This type of configuration is normally part of onboarding rather than automatically being considered custom development.

Agencies can:

  • Add fields
  • Adjust dropdown values
  • Remove unnecessary fields
  • Configure the system around the information their teams need to manage

A request becomes different when it requires true development work, such as a new integration or highly specialized report. Those requirements are scoped separately, with the effort and cost discussed before anything is built.

14. Can brokers create custom views?

Yes. Most agencies begin with the benefits-specific views included with BenefitsBridge and then tailor them as their processes evolve.

Users can create many views themselves by selecting the columns, filters, and sorting that matter to them.

If an agency requires a more specialized operational view or data breakdown, that requirement can be evaluated separately.

15. Can BenefitsBridge produce a 12-month commission report on demand?

Yes. BenefitsBridge provides several ways to work with commission and operational information.

Agencies can use dashboards for at-a-glance visibility, saved views for everyday analysis, Excel exports when spreadsheet analysis is useful, and formal reports for more structured reporting requirements.

If the necessary commission, policy, or activity data exists in BenefitsBridge, it can generally be surfaced in a way that supports the business question the agency is trying to answer.

16. Do custom BenefitsBridge reports cost extra?

Not necessarily.

Many reporting requirements can be handled using existing dashboards, views, exports, and reporting tools.

If a requirement goes beyond those capabilities and requires actual development, there can be an additional cost. In that situation, the request is scoped first, the approach and effort are explained, and the agency agrees to the work before development begins.

What's Ahead for BenefitsBridge and Individual Market/ICHRA Management?

17. Is ForgeXRM developing an Individual Market or ICHRA product?

ForgeXRM is actively evaluating this area because the individual market creates different tracking requirements from traditional group benefits.

The concept is a standalone product—or an add-in to BenefitsBridge—that would give brokers visibility into an individual's enrollment journey, including:

  • Whether an election has been made
  • Whether an enrollment has been submitted
  • Whether it has been approved for payment
  • Plan details
  • Contributions
  • Broker-of-record information

ForgeXRM is also exploring automated triggers for milestones such as someone turning 26 or 65 or experiencing a family-status change. These events can be easy to miss when tracked manually.

The product is still evolving. The goal is to give brokers working in the individual and ICHRA market the same type of operational visibility that group business can have inside BenefitsBridge.

What Should Benefits Brokers Look for in CRM and Agency Management Software?

The questions from this demo reveal an important point: benefits brokers are not simply evaluating features. They are evaluating whether the software can support the way their agency actually operates.

A CRM and agency management platform should help a benefits team manage its book of business, reduce repetitive work, improve visibility across departments, support renewals and commissions, and adapt when the agency's processes differ from a standard template.

It should also fit into the tools employees already use. For agencies working extensively with Microsoft technologies, BenefitsBridge's foundation on Dynamics 365, Power Platform, and Microsoft 365 creates opportunities to connect CRM, automation, Outlook communication, SharePoint documents, and reporting.

Most importantly, agencies should bring their real processes and difficult questions into the evaluation. A product that looks good in a demonstration still needs to hold up against the work employees perform every day.
