What Happens When You Combine Microsoft Teams With Dynamics 365?

Microsoft Teams has become more and more popular. It has grown from 13 million daily active users in July 2019 to 20 million in November 2019. This growth made Teams even bigger than Slack, the main competitor in the area of chat and team collaboration.

One of the reasons for such a significant increase is Microsoft's growing effort of having Teams integrated with all its products. The Dynamics 365 for Microsoft Teams integration came along in April 2019. It enables you to work with Dynamics 365 customer information and share files directly from Microsoft Teams.

How does the integration of Dynamics 365 and Teams work?

There is no better way of finding out how this integration actually works than trying it out yourself. If you already have Microsoft Teams and Microsoft Dynamics 365, that's is quite straightforward. Do you want to give it a try?

Start by going to the Apps section in Microsoft Teams.

When you find the Dynamics 365 app, choose the Add option for it. From then on you can chat with the Dynamics 365 bot. For example, if you write "Good morning" you get back a greeting that includes the option of showing the last contact you viewed in Dynamics, no matter what device you used.

It is also possible to add Dynamics 365 to a specific Team. That makes sense if you want that Team focusing on a specific account, for example.

You can select the Entity, and then get Dynamics 365 on its own separate tab in that Team. Any member of the Team can then work on it there: it is a live view, not a report. Working directly on the new Teams tab has significant advantages when for those working outside the office.

What if I have an integration of Dynamics 365 with SharePoint too?

If you are integrating Dynamics 365 with SharePoint, you are probably already aware of  What You Need To Know If You Store Your CRM Documents In SharePoint. That, in turn, means you are most likely already using CB Dynamics 365 to SharePoint Permissions Replicator together with Dynamics 365 and SharePoint.

The good thing is that CB Dynamics 365 to SharePoint Permissions Replicator now supports the Dynamics 365 for Microsoft Teams integration at the basic collaboration experience level.

A SharePoint site is automatically pre-created for each Team. This is where files are uploaded (via Teams or directly). For each channel, a dedicated SharePoint folder is created. In each team channel, you can link one or multiple Dynamics 365 records. When Dynamics 365 records are linked to a team channel, the channel-related documents are visible also in Dynamics 365, precisely as it would happen if SharePoint were not involved.

These files in SharePoint are accessible following the security settings defined by the Team itself. If you enable Microsoft Teams support in CB Dynamics 365 to SharePoint Permissions Replicator then one of the following options will be applied:

  1. Team files will get permissions based on linked Dynamics 365 record(s)
  2. Team files will get permissions based on linked Dynamics 365 record(s) + permission based on team

You can choose between these two options in the configuration.


Integrating Microsoft Teams and Dynamics 365 can make working with Dynamics 365 an even better experience. You can organize for better collaboration using "Your teams" in Microsoft Teams and you can get information and even update it while you are working remotely.
