Stay More Organized at Work With Dynamics 365

Are You Experiencing "Work Paralysis?"

Are you feeling overwhelmed with work? Do you have more on your plate than you can handle? Do you have so many tasks to complete that you don't know where to start?  First, you need step back, take a deep breath, and then begin to prioritize.  Rather than just shutting down and avoiding work (because it won't go away), you need something that will make you more productive in work. Dynamics 365 CRM can help you with this "work paralysis." In this article, you will learn how to stay more organized with Dynamics 365.

As much as we try to get everything done on our to-do list and strive for optimum productivity, sometimes it just doesn't happen.  Even though procrastinating seems like a good idea at the time, in the end, it leads to stress and anxiety. Procrastination has been defined by HealthGuidance as "something that prevents us from getting as much work done as we could." Dynamics 365 can enable you to work more productively and efficiently.

Reasons people Procrastinate

There are many reasons people procrastinate or experience work paralysis.  We have identified five main reasons people tend to procrastinate.

  1. Lack of Motivation
  2. Not Knowing How
  3. Fear of Failure
  4. Lack of Organization
  5. Too Many Tasks

How Dynamics 365 Can Help

  • Lack of Motivation
    • Goals- CRM has the ability to create goals for you. CRM tracks your goals and your progress to these goals so you can see whether you are reaching your goals or not.  This can be an incentive to better performance.
    • Gamification- This is a new technology in Dynamics CRM in which administrators devise and set up games, or competitions (individual or group), to gamify KPIs for Microsoft Dynamics 365 (online), and motivate employees to achieve their best outcomes and results.  Sometimes a little competition can be very incentivizing!  Click here to see a short video on Gamification in Dynamics 365.
  •  Not Knowing How
    • CRM Business Process Flows- In leads, opportunities, and cases, can give you a guided process to close your deals. In a business process flow ribbon, you are told what you should do in each step of the way. This helps you to do your job because it tells you what to do as part of your job.
    • Learning Path-New feature in Dynamics 365, designed to help new on-board users. Learning Path can help you to quickly get up to speed on how to use Dynamics 365.   The great thing about Learning Path is that it can be customized to your business or role.  There are two types of content available in Learning Path- Learning Path Sidebars and Guided Tasks. We've written a blog on Learning Path which you can read here.
      • Guided Tasks- a series of bubbles that pop up to guide users through a sequence of steps to complete a certain task, such as qualifying a lead or going through the sales process.
      • Learning Path Sidebars- A sidebar is displayed when a user clicks on a certain button or navigates to a specific page.  This sidebar contains additional resources (such as links to videos or web pages) that may help with the task at hand.

  • Fear of Failure
    • Competitive Dashboards- Here you can see yourself against your fellow teammates. Competitive Dashboards can be a really good incentive for wanting to do better!
    • Gamification- can also help with fear of failure.  Not wanting someone to do better than you or not wanting to fail can very motivating and make you want to achieve more.
  • Lack of Organization- Organization is what CRM is all about!
    • Well-built CRM system- If you have a well-built system, you have all the information you need in front of you and you have places to put all the information. A well-designed opportunity form has places for you to track all the information you need to close a sale.  You can see, through the record, what your next actions should be.  CRM can automatically create tasks for you (such as to call a client on a certain date, write a follow-up email or call, etc)
  • Too Many Tasks
    • Prioritize-Too many tasks can be a big problem but with Dynamics 365 CRM, you can prioritize your tasks and they are displayed on a dashboard.  This way, you can see how you are doing on your tasks. You might have too many tasks, but by having a CRM, you have all your tasks in one central location. It becomes hard to keep track of what you've completed and what you haven't. It gives you a single location for all of your work-related activities (which is available on your desktop, tablet, or your phone).

How We Use Dynamics 365 CRM at enCloud9

As the social media manager at enCloud9, I have lots of tasks to complete, such as setting up for seminars, webinars, trade shows, social media postings, blog postings, videos, etc.  I use CRM to track all of my activities around the social media campaigns that we are working on.

Another thing I do when writing blogs is that I usually gain insights from the experts at enCloud9. So I will set up an appointment in my calendar to remind myself that for each blog, I need to have an interview.  By putting this into CRM and getting it out of my head, I can prioritize what needs to be done.
