Every organization is different and has varying needs and requirements when it comes to using Dynamics CRM. One particular company that we’re working with required notifications as well as an approval process. They are already overwhelmed with email, so automatic email notifications were not an option. We were tasked to come up with a way to provide useful notifications using Dynamics CRM without using the built-in email notifications.
We proposed using the What’s New feature in CRM. We created a workflow that would create a post every time certain fields on a record were changed allowing the managers to quickly see what has been changed. The What’s New post also includes a direct link to the record that was changed. If the manager approves the change, they can check an Approved check box next to the field. By using field level security, only managers have permission to check the Approved box.
What’s New provides a great way to communicate internally without firing off a bunch of emails to each other. Managers can quickly find the information they need, and quickly provide any necessary feedback but most importantly, provide the required approval.
