Today’s workplace is made up of wireless devices and employees working remotely, so why should your CRM application make you feel tethered to your desk?

With CRM Mobility, a mobile application service for Microsoft Dynamics CRM provided by FMT Consultants, users can view and update Microsoft Dynamics CRM data on iOS, BlackBerry and Android devices including both phones and tablets. CRM Mobility enables users to work offline when no internet connection is available and provides a rich user experience tailored to the specific needs of the application.

Benefits of CRM Mobility:

Time and Cost to Solution – By leveraging tools like HTML5 and jQuery, FMT is able to deliver a functional solution within a short period of time suited for your exact needs at a cost lower than it would be to license a solution.

Control – Using open standard platforms we have ultimate control over the look and feel of the end product, allowing us to deliver a solution that not only meets, but exceeds your expectations.

One Set of Code – Because of the tools and technologies used, we can develop one set of code that works on various devices and form factors.

Support and Maintenance – Using non-proprietary technologies allows us to enhance, support, and maintain the application.

A lot of people are raised by their parents to hold out for the best deal available when looking to purchase something. If you are one of those people, then you’re going to love the piece of news we have for you today. Microsoft recently reintroduced a former Microsoft Dynamics CRM Online 2011 promotion, “Cloud CRM for Less”, offering cash incentives to new CRM Online 2011 subscribers. This promotion originally ran from April to June of 2011, and was wildly popular. After the promotion ran out, customers were constantly calling in to Microsoft sales representatives and Microsoft partners, asking when the next promotion would be available. Until recently, we were left without an answer, but the promotion is back!

Microsoft reintroduced the “Cloud CRM for Less” promotion with some updated terms. Microsoft is offering $150 per user as a cash-back reward for new Microsoft customers. Who’s eligible? First and foremost, current subscribers are not eligible, only new customers. The customer must reside in the United States or Canada. The customer must subscribe to at least 50 licenses, and they must commit to a two-year licensing subscription. Some quick math, at 50 licenses, you’d be receiving $7,500 to be used in any way you like. Does your business need more licenses, possibly as high as 500? Then you would get a whopping $75,000 from Microsoft.

Let’s look at the deal from a different angle, as a total price reduction on your subscription. The cost to subscribe to CRM Online 2011 is $44 per user per month. The total cost to subscribe for 2 years is $1056 per user. If you qualify for this promotion, subscribe, and receive the $150 per user incentive, you will realistically only be paying $906 for that two year license, due to the initial cash kick-back. That’s essentially equivalent to a 14% discounted rate over a two-year period, or roughly $38 per month per user. No other offer like this currently exists!

So what are you going to do with all those savings? The sky is the limit with this one, as Microsoft will pay you in United States dollars, not in the form of a discount or credit for Microsoft products or Microsoft CRM Online 2011 licenses. Isn’t that fantastic? Smart phone upgrades for everyone!

This promotion only runs until March 31, 2012. The promotions supply is also limited, although Microsoft has not publicly stated their limit with this promotion. Keeping both of those factors in mind, we recommend striking while the mallet is hot. Otherwise, you may lose your chance to cash in on those 150 big ones.

Today’s organizations are under more pressure than ever to make informed decision regarding their IT investments. With so many cloud computing products available on the market there is now an added layer of confusion involved with selecting the right solution for your company. Many organizations have learned the hard way that not all clouds are created equal, instead many are filled with hot air and empty promises. As a result, Microsoft would like to invite organizations to learn first-hand the value of their Cloud Offerings by taking advantage of their most recent promotion and making the switch to Dynamics CRM Online.

Now thru March 31,`2012, Microsoft will send qualified organizations USD $150 for each Microsoft Dynamics CRM Online Subscription license. These funds can be applied to anything including accelerating your implementation of Microsoft Dynamics CRM Online, data migration, and even solution customizations.

In previous versions of Microsoft Dynamics CRM, dashboards have been made possible through the creation of custom SRS reports made accessible straight from the Main Form’s Navigation bar. We could even tailor things with a little bit of javascript so that only certain sets of eyes could view the metrics, making it a handy tool for middle and upper management. This came at a hefty price though. Creation and updates to the SRS reports were pricy and often time consuming; after all, the more ‘tricked out’ the graphs and charts were, the more complicated it was to modify them. This is not to say that SRS reports don’t have tremendous value, because they absolutely do. However, we lacked the agility to quickly create a specific set of dashboards meant to be used by different functional areas of the business. Cost factors often prevent us from creating more than one or two dashboards, inevitably leaving many sets of users to fend for themselves in searching and querying for the data they need.

CRM 2011 Dashboards

This is all about to change with CRM 2011, and the huge step forward is being applauded by the CRM community. Microsoft gets you started with a handful of dashboards that come right out the box. These include:

Sales Activity, Sales Performance, Marketing, Customer Service – Operations, Customer Service – Performance, and Customer Service Representative. Below is a screen shot of the Sales Activity dashboard:

Figure 1: Sales Activity Dashboard

Users of CRM Online know that a simplified version of the dashboard concept already exists in the online version of Dynamics CRM 4.0. This screen has been carried over to CRM 2011, and is now called the “CRM Overview” dashboard:

Figure 2: CRM Overview Dashboard

Figure 2: CRM Overview Dashboard

Create your own Dashboard

This is certainly enough to get people started, but 2011 is made even better by a very intuitive and simple interface to create your own dashboards with no SRS Report needed. Choosing to create a dashboard of your own really has become a point-and-click operation. You may be wondering how much time this would actually take, or how complex the process would be. How does a 3-step process sound? Here they are:

Select a layout.

Select your CRM metrics.

Add views into web pages, other applications, or anywhere else you’d like.

I recently received a call from someone who wanted to learn more about Microsoft Dynamics CRM and wanted helpful information that directly compares Microsoft Dynamics CRM with SugarCRM. There are useful sites like CompareCRM.com and ERPSoftwareBlog, but I understand how finding that specific information can be challenging, especially for those two types of software in particular and for a company’s unique situation. So here are some additional resources.

The recently updated Magic Quadrant for Sales Force Automation report by Gartner includes Dynamics CRM and SugarCRM in its evaluation. While both Dynamics CRM and SugarCRM qualify to be in the “Magic Quadrant,” Dynamics CRM is considered to be one of the four Leaders in the Magic Quadrant for SFA and SugarCRM is among the nine Niche Players. “Leaders,” as Gartner states, “demonstrate a market-defining vision of how technology can help the top sales executives achieve business objectives. Leaders have the ability to execute against that vision through products, services and demonstrated solid business results in the form of revenue and earnings. Leaders have significant successful customer deployments in North America, EMEA and Asia/Pacific in a wide variety of vertical industries with multiple proof points above 500 users.” In contrast, “Niche Players offer products for SFA functionality, but may lack some functional components, may not show the ability to consistently handle deployments of over 500 users across multiple geographies, or may lack strong business execution in the SFA market. Niche vendors may offer complete portfolios for a specific vertical, but demonstrate weaknesses in one or more important areas to support cross-industry requirements, such as complex forecasting or sales effectiveness. They may have an inconsistent implementation track record, or may lack the ability to support large-enterprise requirements.” However, organizations may feel a niche player meets their needs and/or they are willing to sacrifice functionality and accept weaknesses for a cheaper price. As Gartner recommends, “qualify the capacity of each vendor to address your unique business problems and technical concerns,” consider “the complexity and scale of your requirements,” and ask yourself, ‘Will this vendor help my sales organization sell more effectively?’”

The challenge of finding comparison details is exacerbated when both software options are not included in top solution reports. For example, while Microsoft Dynamics CRM is included in Business-Software.com’s Top 10 Sales Force Automation, Top 10 Marketing Automation, Top 10 On-Premise CRM Vendors, and Top 10 Small Business CRM Vendors reports, SugarCRM is not in any of those top 10 lists and consequently is not included in the comparisons. However, SugarCRM did make it in the Top 40 list. This illustrates how the number of reports that include both CRM options in order to compare the two can sometimes be limited.

That being said, in addition to reading what analysts say are the best CRM solutions and finding software comparisons, it’s key to select a CRM solution based on the needs and goals of the organization. Have you documented your business goals and objectives for a CRM solution? Are there specific sales issues or marketing challenges that you want your CRM software to solve? To achieve the maximum return on investment, it’s usually best for an organization to develop a CRM strategy first, and then use a solution like Microsoft Dynamics CRM to execute the specific tactics that will achieve the business goals. Whether we do this discovery and analysis with you or review the CRM strategy you have already developed, a trusted advisor like Systematica could then evaluate how Dynamics CRM accomplishes your goals, or doesn’t. I believe this focused evaluation serves companies better than generic product comparisons.

Along those lines, Choosing CRM Software For Your Company from 2020Software.com has a number of insightful suggestions and links to more resources.

As businesses find themselves consumed with day to day operations, they often overlook the need for a new and better system, and thus they delay the purchase of a CRM system. These businesses don’t realize it, but there are hidden costs to that delay. In most cases those businesses do not have a sufficient IT staff to advise them on the system they need to purchase nor do they have the time to articulate all their business needs in order to purchase a CRM system. So they don’t make a decision; they just wait. Although some of what I write about could be applied to other system implementations, I only focus on CRM in this blog.

What most companies don’t realize is that there is a huge cost associated with not making a decision to purchase the new CRM system. That cost, what economists call opportunity cost, is far greater than most executives realize, because some may see CRM as a glorified contact manager or a new daunting system that will involve a lot of their money, their time, and their staff’s time. But it does not have to be that way. When it comes to CRM, specifically Microsoft Dynamics CRM, CRM has evolved into something much more powerful than it once was, yet it can be implemented in small, well thought out phases as part of a larger business strategy.

Most small and medium size businesses don’t realize that Microsoft CRM has powerful tools that are flexible, familiar, easy to use, and will help them get up and running very quickly. The longer they delay the decision to implement the needed tools, the longer they pay the three hidden costs of no decision.

Hidden Cost #1: Creates and Socializes Inefficiencies

I suspect that most businesses already know that the current system is broken beyond repair and does not meet their business needs; however, not making a decision forces the staff to create a set of workarounds that impedes business goals. By definition, those workarounds are inefficiencies that have been created as part of the day to day operation of that business, which in turn become part of how things are done in that organization. This translates into real dollars in additional costs and missed opportunities as it requires the business to hire or maintain extra headcount just to keep the business going.

Consequences of these Inefficiencies:

Critical business issues are missed altogether or fall through the cracks

Information may be inaccurate and thus can’t be relied upon

Business critical data is kept in spreadsheets, Post-it Notes, or notebooks and thus is not shared with key staff

Inefficiencies will always eat at business productivity and business profits.

A well implemented Microsoft Dynamics CRM system addresses these issues. Businesses must examine their current processes and leverage their CRM systems to insure that they play an integral role in their day to day business processes. Microsoft Dynamics CRM allows a business to remove workarounds and build clean processes that leverage Microsoft best practices. A business could leverage Microsoft Dynamics CRM built-in features like workflows and Advanced Find to allow businesses to enter, track, route, and retrieve data that the staff needs in its day to day operations. It also allows the staff to use all CRM functionality right out of their Outlook client, so they can track emails, look up, enter, or update accounts, contacts and quotes, just to name a few.

Hidden Cost #2: Restricts Your Business’ Ability to Move Quickly

Small and medium size businesses have the ability to move quickly to meet their clients’ needs, but that advantage over larger competitors is lost when the business is using an inefficient CRM system. Powerful features in Microsoft Dynamics CRM allow businesses to add new fields, modify workflows, and enable staff to adapt to business changes quickly rather than wasting time creating workarounds.

A new Microsoft Dynamics CRM system should allow you to:

1- Easily view new clients

2- Easily find new leads and the salesperson assigned to them

3- Track leads that have not been followed up on within the last day or week

4- Track new critical customer issues (ones that may cause the client to leave)

5- Track customer issues that have not been resolved in the last day or week

6- Guide the sales team down a well thought out sales process so forecasts are reliable

7- Easily integrate your website to your Microsoft Dynamics CRM

8- Easily kick off email campaigns

Hidden Cost #3: Paralysis by Analysis

I often run into clients that have been searching for the perfect CRM system for months, if not years. In reality they should be searching for the exceptional CRM system. The exceptional CRM system has the right balance of built-in functionality as well as tools that allow you to configure and customize additional functionality to make it the perfect system. The amount of time that is spent searching for the perfect system insures only one certainty, and that is that the current broken and inefficient system will be in use until you make that decision. It is often not worth the wait.

It is important to note that a business must do its due diligence to insure that it chooses the right CRM, but a business should efficiently evaluate those systems. The entire process for a small and medium size business should take a resource between one to two months to complete and present their findings to upper management. And upper management should be prepared to ask important, pointed questions before making a decision shortly. A timeframe that is longer than three months most likely means that that resource is lost in the details, does not have clear goals or the company can’t afford a new CRM system, among other reasons that translate to no decision.

I’ve implemented packaged solutions for the last 17 years. I’m very impressed with how Microsoft Dynamics CRM is designed compared with other small and large players in this space. I’m also impressed by how quickly a business can implement a phased CRM implementation that will save money in the long run. Being a Microsoft partner, I feel very strongly that if a business considers these three hidden costs and consults with a qualified Microsoft Dynamics partner, that business will be satisfied with its CRM decision.

According to the Microsoft Dynamics® CRM Blog, the CRM team was able to run over 100,000 Microsoft Dynamics CRM users concurrently over several organizations. This is the largest real-world business application workload ever seen on a Microsoft Windows Server Hyper-V system and it proves the scalability of Microsoft Dynamics CRM in private cloud deployments. Using virtualization they were also able to consolidate 20 servers down to just two, which means that if you deploy Microsoft Dynamics CRM using this configuration, you can reduce the power consumption, required rack space and management overhead all while maintaining a high level of performance with your CRM system.

Just the reduction of management overhead alone will save your company millions of dollars and resources a year. Some Microsoft Dynamics CRM competitors have in the past argued, “Dynamics CRM doesn’t scale as well as our stuff.” With a benchmark like this, that argument doesn’t hold water. It scales to at least 100,000 users and that’s pretty impressive while giving you the highest level of performance possible.

Ignify has deployed Microsoft Dynamics CRM at companies with over 5,000 users. Our experience is that scalability is not an issue with Dynamics CRM. As an example, one of our customers handles over 100,000 claims a day across 5,000 call center agents that all use Microsoft Dynamics CRM. CRM does complex claim processing business rules, has workflow that runs across multiple systems and finally integrates an order into Microsoft Dynamics AX when a claim is approved. Another is a $7 billion organization that has rolled our Microsoft Dynamics CRM for marketing, sales, repairs and customer service. The United States Air Force runs on Microsoft Dynamics CRM. Another customer recently purchased Microsoft Dynamics CRM for over 25,000 users. If anything, Microsoft Dynamics CRM wins on scalability over the competition hands-down.

To get the full benefits of virtualization, you will need to learn a few new tricks, but overall, companies deploying Microsoft Dynamics CRM for multiple departments or using the xRM framework to deliver multiple applications using a private cloud approach can be confident the scale, economics and performance of Microsoft Dynamics CRM 4.0 when using Hyper-V. The complete white paper with details on the tests can be found here.

Ignify provides design, consulting and implementation services for CRM and ERP initiatives for mid-market and enterprise businesses.

Microsoft Dynamics CRM is a flexible solution that doesn’t lack choice. What is the Power of Choice? The power to choose the way you want your CRM solution to work. Always have the choice on how to own Microsoft Dynamics CRM, how you want to deploy, and how to access CRM:

Licensing. Choose the way you want the licenses to work. If you want to own, subscribe or finance CRM.

Deployment. Choose the way you want your Microsoft Dynamics CRM solution to work. You can choose which model you want: on-premise CRM, hosted CRM or hybrid CRM. This is known as Microsoft Choice Model.

User Experience. Which CRM clients do I want to use? Microsoft Office Outlook, Microsoft Internet Explorer, a custom Portal, Microsoft Office SharePoint Portal and even a Mobile Device, or all of them.

If your business is rapidly changing Microsoft Dynamics CRM will always adapt to your business needs without being stuck to a one-size-fits all solution.

Choose the On-Premise model if you are looking to manage on site, own every piece of material that is needed to run Microsoft CRM and be responsible for its use and maintenance. With this model you have total control of your CRM customization and CRM integration.

If you are looking to get up and running in minutes without complicated technology server setup and without buying all the necessary software and hardware then Hosted Microsoft CRM (on-demand) is the answer you are looking for.

Hybrid CRM is the best option if you want to own Microsoft licenses but don’t want to worry about managing hardware, or, alternately, if you want to manage your own hardware and have a hosted CRM application. Visit our Microsoft Partner Blog to learn more about Hybrid Microsoft CRM, the combination of the on-premise CRM model and hosted CRM model.

You can use Microsoft CRM within Microsoft Office Outlook, Internet Explorer, a Customer Portal and even a Mobile Device. There’s no learning curve since it’s software you already know how to use.

If your business needs and requirements change, you can switch options. Regardless of what deployment model you are using, you have the option to change the model anytime and your users will never notice; the user interface never changes; users will still be using the same client, this is what makes Microsoft Dynamics CRM unique. Find a Microsoft Dynamics CRM Partner that will adapt to your business.

Microsoft CRM provides you with the choices and flexibility you need to make sure CRM software is a good fit for your business.

Streamsol is a Microsoft Gold Certified Partner, specializing in Network Infrastructure Solutions, Microsoft Business Solutions, and Hosting Solutions.

CRM architecture provides the framework for your company’s customer relationship management. Whether your goal involves organizing your customers, automating mailings, synchronizing promotions, the CRM architecture that backs up your database will be instrumental in your ability to achieve it.

For example, if your focus is on organizing your customers, you may find the need for a CRM solution that allows you to add clients or customers to multiple category levels. Alternately, your organization may have various departments who access the same customer base for outreach and marketing purposes. In these cases, you will need to have a CRM architecture with multi-tenancy support. With multi-tenancy support, a number of groups can share a single implementation of the customer relationship management tool. This will limit the amount of hardware and IT support necessary and allow you to cut costs on multiple levels. If your company is a small company, and always on the move, you can find that Hosted Microsoft CRM will work perfectly, but if you are a larger company on-premise is the best option.

In addition to ensuring that your entire agency is able to access the same installation of a CRM tool, to further reduce the amount of support and hardware necessary, turn to a CRM architecture that builds on a flexible development environment. If your server platform is Microsoft Windows-based, opt for CRM architecture that operates from a Microsoft SQL Server database on the .NET Framework. This will enable your CRM tools to adapt with your business.

Investing in a CRM architecture built on a development model allows your business analysts to design applications specifically for your business. It allows your companies designers to create a complex workflow model without outside support, and allows data to be stored and retrieved according to the user interfaces that you set.

Some of these interfaces may be service oriented. Whether you hope to centralize customer relationship management for your company or you are interested in partnering with another agency, choosing a CRM architecture that involves a web-services option will simplify the process. Customizable security options – through role-based settings, team-based sharing settings, and the ability to assign login data and user roles and privileges – ensure that collaboration is effective but that data related to your customers is never at risk.

Managing your customers is crucial. So is protecting their information. Choosing a CRM architecture that’s customizable, expandable, and secure will enable you to reap the greatest benefit.
