Although Microsoft’s cloud version of its leading CRM solution has been live in the US, Canada and Puerto Rico for a while now, Microsoft Dynamics CRM Online was launched in the UK and many other countries for the first time on 17th January 2011.

Although a handful of UK CRM business partners, including Concentrix, have been offering version 4 of the product as a hosted solution, the launch of Microsoft Dynamics CRM Online means that Microsoft Dynamics CRM is now a genuine cloud application available on infrastructure developed, run and maintained by Microsoft. It has almost identical functionality as the on-premise product and uses the very latest version – Microsoft Dynamics CRM 2011 (Microsoft Dynamics CRM 2011 on-premise is due for release in the UK in late February 2011)

You’ve probably already heard about the new features, enhancements and developments in Microsoft Dynamics CRM 2011. It’s a major new product release. But just in case, here’s a quick recap of some of what’s new in the product: Microsoft has made it even easier to use, improved outlook integration, provided some excellent dashboards, increased personalisation and added role-tailored clients, enabled ‘out of the box’ SharePoint and Microsoft Dynamics NAV integration, increased configuration capabilities and filled some technical and functional gaps. And that’s just some of it – there’s a whole range of other things as well!

But here’s something that’s really going to shake up the cloud CRM market, and not just in the UK. The price of Microsoft Dynamics CRM Online is starting out at a discounted rate of only £22.75 per user per month. If you compare this price with SalesForce.com, which is typically around £45 per user per month; it’s a major difference and incentive to go with the Microsoft product. This is highlighted even more when you consider the extensive features of Microsoft Dynamics CRM 2011, its familiarity and ease of use, and the big productivity gains you can expect from it. What’s more, you only pay for what you need in respect of storage, which is again a major advantage over several other online CRM solutions.

The promotional price of Microsoft Dynamics CRM Online will last until June this year. However, even after the discount is withdrawn, we expect the standard price of the product to remain extremely competitive and the total cost of ownership to be lower than its key competitors. In fact, Microsoft has already seen many businesses switch to Microsoft Dynamics CRM from products such as SalesForce, Oracle Siebel CRM and SAP CRM. It will be interesting to see if and how these other online CRM providers, and SalesForce in particular, react to the attractive pricing, ease of use, high user adoption rates and the flexibility of the new version of Microsoft Dynamics CRM.

Cloud computing is no longer in the realm of early adopters – it’s now a firm reality for many organisations. In the UK market we are seeing, and expect to continue to see, a significant rise in businesses using cloud applications for CRM, and for Microsoft Dynamics CRM Online in particular.

Microsoft has been very aggressive and very successful in capturing market share in the SaaS (Software as a Service) CRM market through their Dynamics CRM Online product offering.

Businesses using Microsoft Dynamics CRM Online can get up and running quickly and without a lot of upfront capital investment. Dynamics CRM Online enables companies to easily port their deployment to Dynamics CRM On-Premise or Dynamics CRM Partner Hosted deployment models (if or when it makes sense to do so). This level of flexibility in deployment is not available with other CRM solutions like Salesforce.com. Download the Dynamics CRM Online Datasheet to learn more about how you can begin transforming your business right away using Microsoft Dynamics CRM Online without complicated technology server set up.

Dynamics CRM Online features all of the same great visual customization and extension tools as the On- Premise and Partner Hosted versions. However, Dynamics CRM online has had a limitation; clients and partners could not upload custom code to the deployment servers. This limitation manifested itself in primarily three ways:

Complex Reporting – Dynamics CRM Online includes the Report Wizard for creating custom reports with charts and the ability to easily export data to Excel for reporting. More complex reporting might require a custom report to be written in SQL Server Reporting Services or another reporting tool. These custom reports could not be uploaded to the Dynamics CRM Online deployment.

Third Party Add-On Components – There are many great third party add-on components for Microsoft Dynamics CRM that have been developed by the vast Microsoft Partner ecosystem to meet specific horizontal and vertical requirements. Since these add-ons normally involve server-side code, they could not be installed to a Dynamics CRM Online deployment.

Custom Developed Code – Microsoft Dynamics CRM also provides very extensive customization and extension capabilities via its SDK (software development kit). Partners and customers can use this SDK to enhance and extend the core Dynamics CRM functionality to meet specific requirements. This custom server-side code could not be uploaded to a Dynamics CRM Online deployment.

All of that is about to change. Microsoft recently announced support for uploading custom code to Dynamics CRM Online deployments. This major enhancement (along with other enhancements included in the Dynamics CRM 2011 wave) will be rolled out to Dynamics CRM Online customers via regular service updates beginning in September 2010.

Along with the roll out will be the introduction of the Dynamics CRM Marketplace which will allow customers to quickly purchase and deploy Microsoft and third-party add-on enhancements to their Dynamics CRM Online deployment. You can read more about the 2011 Dynamics CRM roll out in this press release, Microsoft Demonstrates Next-Generation CRM Release at Worldwide Partner Conference.

With this announcement, Microsoft has taken another giant step forward in providing the best CRM product on the market, delivered in a SaaS deployment model, with flexibility to move to an on-premise or partner-hosted model at any time.

There are many reasons to be excited about Microsoft’s newest version of CRM, Microsoft Dynamics CRM 2011. Although the beta version won’t be released until September, word has already spread about the benefits this version will offer including:

Improved Integration

CRM 2011 is going to have an enhanced integration with Microsoft Outlook and Microsoft SharePoint. While working in Outlook you will now be able to access CRM without ever leaving your current screen or opening a new window. In addition to improved Outlook capabilities, CRM 2011 works with SharePoint so that users can easily create SharePoint document repositories and access files directly within CRM.

Role-Tailored Functionality

If you have used other Microsoft Dynamics products you may already have experienced the value in role-tailored functionality. This customization, available in CRM 2011, allows for the removal of onscreen ‘clutter’ providing users with fast access to the relevant information they need.

Familiar User Interface

The contextual CRM Ribbon delivers consistent Microsoft Office navigation and a familiar user experience, thus minimizing the learning curve for new CRM users.

Customizable Cloud Solution

Developers now have the ability to create and deploy custom code for Microsoft Dynamics CRM Online using powerful tools, such as Microsoft Visual Studio. Powered by .NET Framework 4, they can also incorporate Microsoft Silverlight, Windows Communication Foundation and Language Integrated Query into their cloud solutions.

Whether you are in the market for an on premise or hosted CRM solution, Microsoft Dynamics CRM 2011 is the new standard that all other CRM systems will be measured against. Now the only challenge will be waiting until the beta release in September to experience it yourself.

Well, because the product is not quite in Beta yet, Microsoft is quite sensibly being fairly low key about the exact features and functions of the product. However, here are some of the things we’re pretty sure it will include (and we’re extremely excited about!):

Advanced Customisation and Integration for Hosted Microsoft Dynamics CRM

At Concentrix, we’ve been offering hosted Microsoft Dynamics CRM since early 2009 and had a great deal of success with it (particularly among smaller businesses using CRM for the first time). One of the drawbacks however is that, currently at least, it’s not easy to implement advanced customisations, integration, configuration and bespoke components to the hosted version of the software. This has meant we’ve had to recommend on-premise deployment for a variety of customers that needed more complex services. However, with Microsoft Dynamics CRM 2011 it will be possible for business partners to ‘code in the cloud’. In other words, we’ll be able to offer advanced customisation and integration to those businesses and organisations that prefer Microsoft Dynamics CRM as a hosted solution.

Role Tailored Functionality

Role tailored functionality is already part of products such as Microsoft Dynamics NAV, and is now being incorporated into Microsoft Dynamics CRM 2011. As the name suggests, it tailors each user’s experience to their role and therefore need, taking out the features and functions they don’t use and tidying up their workspace. This helps users perform tasks more efficiently and effectively by removing any surplus on-screen ‘clutter’, while enabling them to quickly and easily find the information they need to perform their jobs.

Dashboards

Microsoft Dynamics CRM 2011 will provide a powerful, easy to use dashboard facility that can be role tailored or individually tailored and will be fully contextual. Many other CRM software applications provide dashboards. However, Microsoft Dynamics CRM 2011 dashboards will offer near business intelligence level functionality and will be great for use in, for example, customer care, case management, marketing, lead and campaign management, monitoring sales pipelines, sales performance and much more.

Microsoft Dynamics CRM 2011 looks even more like Outlook!

A key advantage of Microsoft Dynamics CRM is its seamless integration with Outlook. Also, because it has the look and feel of Outlook, things like user uptake, training and getting users up to speed are a lot quicker and easier than with some other CRM products that have less familiar interfaces. Microsoft Dynamics CRM 2011 has even more Outlook-type features, such as reading panes for CRM records, user customisations, “drag and drop”, flagging, categorisation and grouping of CRM records, and better communication tracking. Usability is always high on the list of considerations when businesses are choosing CRM software, and all these features will provide enhanced usability, increased user productivity and efficiency, and make the product a genuine pleasure to use.

There are plenty more features, improvements and additions in store with Microsoft Dynamics CRM 2011 which will deliver major benefits to a wide variety of businesses and organisations.

There’s an exciting new development happening with Microsoft Dynamics CRM and how you’ll be able to use it with the popular ERP solution Microsoft Dynamics NAV. Recently, Microsoft confirmed that it will be providing built-in integration with Microsoft Dynamics CRM in the next release of Microsoft Dynamics NAV. And the next release, called R2, is due in the fourth quarter of 2010, which is earlier than a lot of people expected.

This is really great news. Integrating Microsoft Dynamics CRM and Microsoft Dynamics NAV brings these two leading CRM and ERP solutions together to deliver a powerful product combination. Currently however, if you want to integrate the two products you’ll need a third-party application. Deploying one of the third-party applications available can be successful (it depends on how it’s done and the application you choose to do it), but is not always ideal and can sometimes raise questions regarding product support. Alternatively you can rely on the inherent features for sales, marketing and customer service in Microsoft Dynamics NAV (they’re not the same as Microsoft Dynamics CRM) or simply use the two products separately.

Having built-in integration will deliver a wide range of benefits for Microsoft Dynamics CRM and Microsoft Dynamics NAV (which used to be called Navision) users alike. First, the integration will be fully supported by Microsoft. Then there are the functional enhancements and improvements to business processes, such as eliminating redundant data entries and making sure information in both the ERP and CRM solutions is kept up to date. And a major benefit for marketing and sales people, often the heaviest users of Microsoft Dynamics CRM, is that they’ll be able to quickly access detailed business information such as payment history, contracts, pricing, and product availability.

Another key feature of the built-in integration is that you’ll be able to integrate either on-premise Microsoft Dynamics CRM or hosted Microsoft Dynamics CRM with Microsoft Dynamics NAV – it will work with both deployment options. It will also allow you able to migrate from hosted Microsoft Dynamics CRM to on-premise (or the other way around) and seamlessly maintain the integration with NAV. This is again useful as we’ve found many customers start off with hosted Microsoft Dynamics CRM and, once they’ve established the benefits, understood what they can achieve with the software, and decided they’ll make CRM a core part of their business strategy, will move to the on-premise option.

In addition to CRM integration there is also a variety of other new functions in the next release of Microsoft Dynamics NAV which will help deliver further improvements to business processes and productivity. We’re looking forward to the new update!

Background

Cloud computer is all the rage in today’s software market. It’s easy to understand why for when you use a hosted solution, your business does not have to worry about purchasing additional hardware or having to support it. All database administrator functions are the job of Microsoft and not your business. That said, you can do many wonderful things with CRM Online and Microsoft is even having a promotional offer until June 30th, 2010 that is the deal of a lifetime!!! Contact us at InterDyn – CFO Consulting for details.

Bellow I have listed 6 reasons why CRM Online fulfills the promise of cloud computing ….

Top Six Reasons to Like Dynamics CRM Online

Great up and running experience: The process of getting up and running is flawless. In my opinion, most businesses will be able to sign up, add users, and be up and running in a day, without requiring dedicated IT staff or any previous CRM experience.

Fast Installation Process: This would be the alternative to the installation of the on premise version of Dynamics CRM. The on-premise version is installed on your own servers, and must be installed on top of an already-solid platform consisting of Windows Server 2003 or 2008, SQL Server 2005 or 2008, the correct version of the .NET Framework, the latest hot fixes and security patches. With the hosted solution, you don’t have to worry about any of this and you get up and running right away. Contrast the on-premise installation process with the Dynamics CRM Online up and running experience: Choose a name for your organization. Pay for at least five users. Add the users with the new user’s wizard. That’s it: nothing to install, Microsoft does the grunt work for you.

No (unplanned) downtime. Periodically users will be notified, well in advance of planned downtime for server maintenance or upgrades performed in the Big Data Center in the Cloud. It’s usually on a weekend night and it’s usually for about 4 hours.

No server maintenance: Users don’t have to perform backups, install patches or hot fixes, do performance tuning, etc.. This is all done for you by Microsoft.

Two deployment options, one platform architecture: Microsoft is nearly unique in having both an on-premise and an online option, and as far as I know entirely unique in having the same architecture for both options. What this means is that you can migrate data and customizations either way: from on-premise to online, or from online to on-premise. So if you ever decide to purchase the on premise edition and own the software, you are all set!

Immediate New Feature Upgrades: If you’re running the on-premise version, you don’t get new features until the next product version ships. If you’re running online, you get new features every time Microsoft does a “service update”. So if you’re running Dynamics CRM Online now, you’re getting a sneak preview of features the on-premise product won’t see until the new features for the on premise version of CRM come out.

Convinced? Give us a call at InterDyn - CFO Consulting and we will show you why Microsoft CRM Online is the best cloud CRM application for your business!

Here’s the second part of our blog giving you five more important tips about the factors you need to consider right at the start of your Microsoft Dynamics CRM project. Along with the previous five tips, this information will help to ensure that you get the system successfully working for your business and delivering results as smoothly as possible.

Tip 6 – Make sure you have Staff available

Making sure staff have time scheduled specifically for the project is often overlooked by organisations implementing a CRM system for the first time. It’s really important – and not just for user buy-in. As well as appointing a Project Lead, you need to make staff available for their input at various stages. They will need to schedule time for consultation, updates, data cleansing, testing, training, and other project activities.

Your CRM project will have to take your staff away from their ‘day job’ at times, so you will need to plan and schedule this., Delays in staff availability can delay the project, or worse lead to less than ideal configuration, system design, or usage.

Remember that different staff will need different levels of CRM training and support. Also consider a ‘train the trainer’ approach from your business partner – get them to train some of your staff to be able to train others. This not only reduces reliance on your business partner, but will also save money and gives you a valuable in-house training resource.

Tip 7 – Clean your data

Some businesses getting started with Microsoft Dynamics CRM will find their data is ok, perhaps consisting of a few hundred contacts, all up to date and all on one spreadsheet. For most though, data is all over the place – on different devices, in different formats, in different files, on paper, and even in people’s heads.

For many organisations, data cleansing can be painful. There’s no getting away from it. But implementing Microsoft Dynamics CRM is actually a great opportunity to sort your data out, and data cleansing is always time well spent.

How you clean your data depends entirely on your organisation. Sometimes you can employ a temp to work through it, or employ a data cleansing agency before it’s imported into your CRM software. Some businesses will need to use members of staff who understand the data. Occasionally some organisations decide it’s easier to discard their old data completely and start from scratch with a clean system.

Tip 8 – Check your IT resources and infrastructure

Considering its power, flexibility, and functionality, in terms of technical specifications and hardware processor power Microsoft Dynamics CRM is perhaps surprisingly not that ‘hungry’. You won’t need the very latest, high-end PCs or processors.

If you’re deploying Microsoft Dynamics CRM on-premise, you’ll need a medium level server. For general guidance – if your server is less than three years old you’re probably OK. For PC’s and workstations, as long as they are less than around four years old, again Microsoft Dynamics CRM will probably run OK. Make sure that Active Directory is installed and configured correctly on your server.

If you’ve chosen hosted Microsoft Dynamics CRM, all you’ll need is a reasonable PC and broadband internet connection. If you’re happy with the speed and performance of your system when you’re browsing the internet, you should be OK. It’s also advisable to have the latest version of Internet Explorer (you must use Internet Explorer with Microsoft Dynamics CRM; other browsers are not supported).

Tip 9 – Keep talking!

The smoothest run and most successful CRM implementation projects tend to be the ones where people communicate well – clearly, fully, and frequently. This includes internal communications, for example between IT staff, project managers, and end users, as well as between business partners, consultants, and client companies. So, try and keep everyone up to date about what’s going on. Make sure that if people, at whatever level, have concerns or issues to raise, they have no barriers or reasons not to express their opinions. Keep talking, keep the project moving, and let everyone know how things are going.

Tip 10 – Don’t try to do everything at once

CRM is a strategy. One of the key features of Microsoft Dynamics CRM is that, as your company and business processes develop, Microsoft Dynamics CRM can be developed with you. Over time people will get to really know the system and realize its potential. Also, Microsoft Dynamics CRM is an incredibly powerful CRM solution with a lot of potential functionality. So, don’t try and use all of it all at once.

Divide your CRM implementation project into manageable stages. For example, start off with marketing campaigns, lead management and sales automation. As your business changes, so will your CRM system. Regularly review its functionality from a process, user and technical perspective, and don’t forget to update your documentation, processes, and procedures to reflect changes accordingly.

Good luck with your Microsoft Dynamics CRM project, and if you need further help and advice, don’t hesitate to contact Concentrix.

Over the past couple of years, one of the most common questions we’ve been asked at Concentrix is “What’s the best Microsoft CRM option for a small business – hosted or on-premise?”

Well, there’s no single answer. Whether you choose to deploy Microsoft Dynamics CRM on-premise or go with a hosted option depends on your business requirements: your aims, objectives, resources, and what you need from your CRM solution.

With hosted CRM (often referred to as ‘Software as a Service’, CRM ‘on-demand’ or ‘in the cloud’), the application and data is held on computers (servers), kept in an advanced data-centre. This means your CRM provider takes care of the running and maintenance of the software and servers 24 hours a day, seven days a week.

Hosted Microsoft CRM is a good fit for small businesses because you can be up and running with the software extremely quickly. Plus, you don’t need in-house IT staff or high levels of technical skills. What’s more there’s usually little or no financial outlay in terms of hardware and IT infrastructure, and you simply pay a monthly fee to use the product, based on the number of users you have.

However, if you need a high level of software configuration, if you already have your own servers and IT staff, or if you want to fully own your system outright, then deploying Microsoft Dynamics CRM on-premise is probably your best choice. You’ve also got to look at the time it will take to achieve return on investment. CRM should be a long-term business strategy and your investment in hardware for an on-premise solution will usually be recuperated fairly quickly, typically within three years.

Choosing between hosted or on-premise CRM software is a bit like choosing between renting and buying a house. With renting (like choosing hosted CRM), you have the convenience of monthly payments, and nearly everything is taken care of for you by the landlord. On the other hand, buying a house (like choosing on-premise CRM) is a sound long-term financial investment and gives you full control of your property.

Now, here’s an interesting development. One thing we’ve noticed over the past year or so is that small businesses that choose Microsoft Dynamics CRM nearly always start off with the hosted option. In fact, since early 2009, hosted Microsoft Dynamics CRM has accounted for over 90% of Concentrix’s implementations of the product in businesses with between one and twenty users.

So, most small businesses, in the UK at least, prefer hosted Microsoft Dynamics CRM to start with. But it doesn’t stop there. We’re also just starting to see some organisations, having started off with the hosted option, then move to on-premise.

There’s actually a lot of sense in starting with hosted Microsoft Dynamics CRM and then moving to on-premise. Because of the ease of getting up and running, the hosted option is a good way for organisations to trial the product with very little risk. Then, once they’ve established the benefits, understood and demonstrated what CRM can achieve and decided that they will use CRM as a key business strategy, an on-premise solution becomes a realistic option. In the longer term it will deliver even better return on investment. So for many small businesses planning for growth, starting off with hosted Microsoft Dynamics CRM, establishing the benefits, embedding a ‘CRM culture’ before moving to on-premise is an attractive route.

Whatever option you choose, you won’t be on your own. All Microsoft CRM Gold Partners should offer comprehensive training and support services. So, whether you go with on-premise or hosted, you’ll have help available when you need it.

If you’re a small business and need further advice about choosing between hosted or on-premise Microsoft Dynamics CRM, we recommend you talk to your local CRM specialist. They’ll take a look at your requirements and provide help and advice about the best option for your needs.

So, since I’m new around here (my first post) just to get it out of the way I thought I’d do a quick intro. I’m Joe CRM, the “voice” of PowerObjects, a leading Microsoft Dynamics CRM/xRM partner based in Minneapolis with offices in Dallas and San Antonio as well. I’m honored to be aboard along with all of the other fine Microsoft Dynamics CRM partner organizations that contribute some great content to this blog. I promise to do my best to pull my weight and add information to the blog that educates and informs – and maybe even entertains once in awhile.

Microsoft Dynamics CRM/xRM is our ONLY business and we’ve helped many (really, a whole bunch) of organizations, large and small realize the benefits of choosing Microsoft CRM/xRM as their platform for everything from a classic Sales Force Automation solution to Patient Relationship Management, Project Management, People Management and even Pet Food Production management!

If you haven’t figured it out already from reading some of the other partner posts on this blog, one of the great things about Microsoft Dynamics CRM/xRM is that you have the Power of Choice in how you deploy a solution. You can choose to implement On-(your) premise, you can choose to have Microsoft host and manage it for you with CRM Online, or have your solution hosted by those partners that have made the investment in enterprise scale data centers (like PowerObjects). Bottom line is that you HAVE the choice – and can change your mind and move from one option to another if your needs change.

So, I’ll stop with the shameless plug, I mean the introduction….and ask you to watch for future posts from me, Joe CRM, and let me know what you think….

Happy CRM’ing
